ElauPro’s collaboration features allow you to work efficiently with team members, clients, and partners on your KNX integration projects. By managing contacts, defining roles, and sharing projects, you can create a streamlined workflow that enhances communication and project delivery.
Contact Management #
The Contact Management system in ElauPro helps you organize and manage all individuals involved in your projects. This centralized approach ensures that everyone has appropriate access to project information based on their role and relationship to your company.
Adding External Contacts #
External contacts are individuals outside your company who you collaborate with on projects, such as clients, electricians, or external consultants.
To add an external contact:
- Navigate to the Contact List by clicking on the “Contact List” option in the Settings menu

- Click the blue “Add Contact” button in the top-right corner
- In the “Add New Contact” dialog that appears, enter the required information:
- First Name
- Last Name
- Email (this will be their username if they access ElauPro)
- Company Name
- VAT number (if applicable)
- Phone number
- Address details (Street, Postcode, City, Country)
- Ensure the checkbox “This user is a part of my own company” remains unchecked
- Select a role from the dropdown menu (e.g., Customer, Integrator, Electrician)
- Assign the contact to specific projects using the Projects dropdown
- Click “Save” to add the contact to your list

Adding Company Members #
Company members are colleagues who need access to ElauPro projects. Adding them as contacts allows you to share projects and assign specific responsibilities.
To add a company member:
- Navigate to the Contact List through the Settings menu
- Click “Add Contact”
- Fill in the contact details as with external contacts
- Check the box “This user is a part of my own company”
- Select an appropriate role (typically “Integrator”)
- Optionally assign them to existing projects
- Click “Save”
When you add someone as a company member, they will appear with an indicator in the “Is Member” column of your contact list.

Contact Properties #
Each contact in ElauPro has various properties that define their relationship to your projects and determine what actions they can perform.
Contact properties include:
- Basic Information:
- Full Name: The contact’s complete name (displayed in the “Full Name” column)
- Email: Used for communication and as username for system access
- Phone: For direct communication
- Address: Complete address information for documentation purposes
- Role Assignment:
- Role: Determines the default permissions (Customer, Integrator, Electrician)
- Company Membership: Indicates whether the contact belongs to your organization
- Projects: Shows which projects the contact has been assigned to
- Managing Contacts
From the Contact List view, you can:
- View all contacts with their email addresses, associated projects, and roles
- Filter contacts using the search field at the top right
- Edit contact information by clicking the pencil icon in the Actions column
- Delete contacts by clicking the trash icon in the Actions column
- Resend the Share projects email by clicking the mail icon in the Actions column

Setting Access Permissions #
For each role, you can define granular permissions across all sections of ElauPro:
- In the “Permissions” section of the role configuration screen, you’ll see a list of all available project sections:
- Buildings
- Devices List
- Devices Types
- Categories
- Inputs
- Panels
- KNX
- Visualization
- Reports
- Files
- For each section, click the dropdown menu to set one of the following permission levels:
- None: No access to this section
- View only: Can view but not modify content in this section
- Edit: Full access to view and modify content in this section
- The dropdown menu expands to show all available options, allowing you to select the appropriate permission level for each section
- After configuring all permissions, click the blue “Save” button in the bottom-right corner to apply your changes
Best practices for role configuration:
- Create roles based on job function rather than for specific individuals
- Consider creating read-only roles for clients who need to review but not modify projects
- Create specialized roles for external collaborators who only need access to specific parts of a project
Project Sharing #
ElauPro’s project sharing features enable collaboration with both internal team members and external contacts. You can control exactly who has access to each project and what level of access they have.
Inviting Users to Projects #
From the Contact List
- Navigate to the Contact List through Settings
- Find the contact you want to invite to a project and edit the contact details
- Select the project(s) you want to share with this contact
- Specify the role they should have within these projects
- Upon saving the contact, an email is automatically sent to the contact to invite him to join the project.
- An email icon in the Actions column can be used to resend the invitation email if necessary

Managing Project Access #
Once you’ve shared a project with contacts, you can manage their access throughout the project lifecycle:
Viewing Project Participants
- Open the project and click on the project name to access the Edit Project screen
- The “Members” section shows all users who currently have access to the project
- Each member’s profile picture or initials are displayed for easy identification
Modifying Access Permissions
- To change a user’s access to a project, you can:
- Change their role by accessing the Contact List and modifying their role assignment
- Transfer project ownership using the “Transfer Project” button on the Edit Project screen
Project Transfer If you need to hand over a project to a client or another integrator:
- Open the project and access the Edit Project screen
- Select the appropriate contact as the customer
- Click the “Transfer Project” button
- Confirm the transfer in the dialog that appears
- Once transferred, the project will move to the recipient’s projects list and their permissions will be updated accordingly
- Note that you will no longer have access to the project after the transfer ! The new project owner may share the project with you if needed.
Project Sharing Notifications
- When you share a project with a contact, they receive an email notification
- The project will appear in their “Shared Projects” list when they log in to ElauPro
